Acceptable Use Policy

This policy applies to everyone who uses the GreenPlate Meals platform — subscribing organisations and their staff, volunteers, drivers and clients. It forms part of the Terms of Use. The platform holds sensitive information about vulnerable people, so these rules matter.

1. Permitted use

Use the platform for running your meal delivery service: managing client records, ordering and producing meals, scheduling deliveries, rostering volunteers, billing, and reporting. Access only the records you need to do your job.

2. Protecting client information

You must not:

— look up client, staff or volunteer records out of curiosity or for personal reasons;
— export, photograph, print or share personal information outside the service without authorisation;
— discuss client health, dietary or care details with anyone who does not need to know;
— leave the platform open on an unattended or shared device.

Administrative activity is logged and can be reviewed by your organisation.

3. Account security

Keep your password private, never share logins, use a unique password, and change any temporary password immediately. Report a lost device or suspected account compromise to your manager straight away. Accounts must belong to a named individual — no shared or generic accounts.

4. Accurate records

Allergy, dietary, texture and delivery information drives what is cooked, labelled and delivered. Keep it accurate and current, never enter false or test data into live records, and do not delete records to hide a mistake — correct them and tell your manager.

5. Prohibited conduct

You must not:

— use the platform for anything unlawful, harassing, discriminatory or fraudulent;
— attempt to bypass role restrictions, access controls or authentication;
— probe, scan, load-test or otherwise interfere with the platform or its infrastructure without our written permission;
— upload malware, or files that are not required for the service;
— scrape, copy or resell platform data or functionality, or use it to build a competing product;
— use automated tools to send bulk or unsolicited messages through the platform.

6. Uploaded content

Documents you upload (such as supplier invoices, certificates and training records) must be relevant to the service, lawful to hold, and free of content you do not have the right to store. Do not upload full payment card numbers — the platform intentionally stores only the last four digits.

7. Reporting problems

Report suspected misuse, a privacy incident or a security weakness immediately to your manager and to security@greenplate.example. Please report security issues privately rather than publicly, and do not exploit or share them.

8. Enforcement

Breaches may result in reduced access, account suspension, suspension of your organisation's service, referral to your organisation's disciplinary process, or referral to authorities where the law requires it. We may suspend access immediately where use threatens the security or integrity of the platform or the safety of clients.

9. Changes

We may update this policy as the platform and legal obligations change, and will give reasonable notice of material changes.
